Brock Carmichael Architects is seeking an experienced office manager to join the team in their busy Liverpool City Centre Office. They are a practice of 27 no people and looking for an office manager to help run the day-to-day workings of the studio. The position is full time and based in the office.

They are looking for someone with previous employment experience in a similar business (consultancy, construction, or property), experience as a senior administrator, and most of all a person who is passionate about administrative support, operations, and a willing all-rounder.

You will:

· be calm, confident, friendly, proactive, and capable of self-direction.

· be computer literate with knowledge of Microsoft Office. Experience of Adobe InDesign would be beneficial.

· have an interest in architecture and design.

Your tasks will include:

· Support the partners with basic PA duties (diary management, travel, coordination etc.), and everyday office management.

· General administrative support to all members of technical staff including research tasks, producing/binding of project reports and organising printing/mounting/delivery of presentation boards.

· Supporting the management of diaries for internal and external meetings, managing the meeting room calendars, including the organisation of refreshments.

· Supporting the Finance Manager and partners through invoice preparation and issue, assisting with credit control, liaising with client account teams.

· Supporting the practice through management and organisation of the office environment, equipment, stationary, and liaison with external IT support providers.

· Supporting the practice’s ongoing commitment to ISO 9001 and 14001 through audit and compliance checks.

· Working with external accreditation bodies such as Investors-In-People and Constructionline.

· Ensuring compliance with health and safety at work regulations on behalf of the office (organising fire training, organising first aid kits etc).

· Assisting architects with document control duties such as uploading and downloading documents to extranet sites, producing document issue sheets, and performing QA checks of outgoing information.

· Assistance with HR and provision of staff point of contact.

· Assistance with marketing tasks, bid writing, and liaison with external marketing and PR agencies.

· Organising office social events and activities.

· Meeting and greeting clients and visitors, dealing with incoming and outgoing enquiries, contacts, and correspondence.

The role is a permanent contract, subject to completion of a probation period, your working week would be Monday – Thursday from 9am – 6pm, Friday 9am – 3pm, in their Liverpool city centre office.
